Add yellow "?" icon to TOR calendar that flags employees with previously approved requests who now have a <=0 balance

Scenario:

  • It is 1/1 of the current year and I have been front-loaded with 40 hours of vacation time.
  • On 1/15, I request to have off from 12/17 - 12/21, a total of 5 days @ 8 hours/day = 40 hours.
  • My Supervisor approves this TOR request.
  • All of my vacation hours are exhausted.  I have 40 hours - 40 pending hours = 0 hours remaining.

  • Flash-forward, it's 5/1 and I need to take a Vacation day unexpectedly. 1 day @ 8 hours = 8 hours.
  • Since all of my vacation hours were exhausted, I now have 32 hours - 40 pending hours = -8 hours remaining.

In this case, the employee had planned to use up all of their TOR allotments in December, but had to use a day prematurely in May.

If nothing is done, the employee will remain on the TOR calendar from 12/17 - 12/21 with all green check marks.  12/21 is actually going to go unpaid, though, because there's only 32 hours of vacation left to use.  This scenario might incite some managers to rescind approval of a previously requested vacation day in December. 

To aid in identifying these scenarios, could the TOR calendar have a third icon aside from the green check mark and red X?  Specifically a yellow question mark (?).  Thought is when an employee already has TOR approved but no longer has enough TOR remaining to cover the request, starting with the last day they have approved, switch the icon from a green check mark to a yellow question mark (?).

At a glance, this tells the supervisor the employee no longer has enough time off to take that day and get paid for it.  So the "?" is really posing the question to the supervisor "are they actually still off, or are you going to rescind this approval now that they already used their time?"

Managers would then have the ability to peruse the TOR calendar and, month-by-month, see if there were any yellow ?s that presented themselves and revise TOR requests or consult employees about time off without pay accordingly.
